VoiceSuites is a business phone system operated by Pacific Unified Systems LLC (“VoiceSuites,” “we,” “us”). This policy explains what information we collect, how we use and share it, and the choices you have. It covers our website, the VoiceSuites portal, our desktop, mobile and browser apps, Call Links and website widgets (together, the “Service”).
Who this policy covers
- Our customers are the businesses that sign up for VoiceSuites, and the people they add as users. For their account information, we decide how it is used.
- Callers and texters are the people who call, text or chat with a business that uses VoiceSuites. We handle their calls, messages and recordings on behalf of that business, following its instructions. The business’s own privacy policy also applies to them, and questions about that information are best sent to the business.
- Website visitors who browse voicesuites.com.
Information we collect
Information you give us
- Account details: your name, business name, email address, phone number and password.
- Setup details: your industry, teams, menus, greetings, business hours, users and their emergency (911) addresses.
- Billing details: billing name and address. Card payments are handled by our payment processor; we do not store full card numbers.
- Anything you send us when you contact support.
Information created when the Service is used
- Call details: phone numbers, times, durations, the menu choices and teams a call went through, and who answered.
- Content: call recordings and voicemail (where the business turns them on), transcripts, text messages, chats, notes, follow-up tasks and customer directory entries.
- Speech: what a caller says to a Smart Menu is processed so the call can be sent to the right team.
- Location: with your permission, the desktop and mobile apps check whether you are at one of your saved places, so your emergency (911) address stays correct. Your location stays on your device.
- Device and usage information: IP address, device and browser type, app version, and logs we need to run, secure and troubleshoot the Service.
Our website
Our website uses Microsoft Clarity to understand how visitors use our pages. Clarity uses cookies and records interactions such as clicks, scrolling and mouse movement. We use this to improve the site, not to identify you or to advertise. You can block these cookies in your browser settings. Microsoft’s use of this information is covered by theMicrosoft Privacy Statement.
How we use information
- To provide the Service: connect and route calls, deliver messages, run menus and voicemail, and show history to the business’s team.
- To set up your system, including using AI to suggest menus, teams and greetings from what you tell us.
- To process payments and send receipts, account notices and service messages.
- To provide support, keep the Service secure, prevent fraud and abuse, and meet legal requirements, including emergency (911) and telecom rules.
- To understand how the Service is used and improve it.
We do not sell personal information, and we do not use the content of calls, recordings or messages to advertise to anyone.
Text messaging
We do not sell, rent or share mobile phone numbers or text messaging opt-in information with third parties or affiliates for their marketing or promotional purposes.Text messaging originator opt-in data and consent are never shared with any third parties, except the carriers, aggregators and providers we need to deliver the messages.
If you agree to receive text messages from VoiceSuites or from a business that uses VoiceSuites, message frequency varies and message and data rates may apply. Reply STOP at any time to stop receiving messages, and HELP for help. Businesses that text their customers through VoiceSuites must collect consent and honor opt-outs, as described in our Terms of Service.
How we share information
We share information only as needed to run the Service, with:
- The business you contact or work for. Calls, messages, recordings and notes belong to the business that uses VoiceSuites, and are visible to the people it gives access to.
- Service providers that work for us under contract: telecom carriers and messaging aggregators, cloud hosting and storage, speech recognition, text-to-speech and translation, AI providers, payment processing, email delivery and website analytics. They may use the information only to provide their services to us.
- Emergency services, when a 911 call is placed, including the caller’s number and registered address.
- Authorities, when the law requires it, or to protect the rights, safety and property of our customers, the public or VoiceSuites.
- A buyer or successor, if VoiceSuites is part of a merger, acquisition or sale of assets, under terms that protect your information.
Business data stays with the business
Customer records, call history, recordings and messages belong to the business, not to the individual user. When a business removes a user, that person loses access, and the information stays with the business.
How long we keep information
We keep account information while the account is open. Call history, recordings, voicemail and messages are kept until the business deletes them or closes its account. After an account closes, we delete or anonymize its information within a reasonable time, except what we must keep for legal, tax, billing or security reasons.
Security
We protect information with measures such as encrypted connections to our portal and apps, access controls and monitoring. Calls that travel over the public phone network are carried by telecom carriers under their own protections. No system is perfectly secure, so please use a strong password and keep your sign-in details private.
Health information
VoiceSuites is not HIPAA-compliant yet, and we do not sign business associate agreements. Healthcare providers can use VoiceSuites for general business calls, but should not use it to record, store or send protected health information.
Your choices and rights
You can see and update most account information in the portal. You can also ask us to access, correct, delete or export your personal information by emailing[email protected]. We will confirm your request and reply within the time the law requires. If your information was collected by a business that uses VoiceSuites, we will pass your request to that business or help it respond.
California residents have the right to know what personal information we collect and how we use it, to ask us to delete or correct it, and not to be treated differently for using these rights. We do not sell or share personal information for cross-context behavioral advertising.
You can unsubscribe from marketing email with the link in each message. We will still send messages about your account and the Service.
Children
VoiceSuites is a service for businesses and is not meant for children under 16. We do not knowingly collect information from them.
Changes to this policy
We may update this policy. We will post the new version here with a new effective date, and tell customers about important changes by email or in the portal.
